2. Accommodations
All accommodations have been blocked booked under the SSA for Friday, April 4th and Saturday, April 5th at the Prince Albert Travelodge. The rooms will be held until Tuesday, April 1st, after which they will be released and individuals will have to make their own bookings. The room rate is $79 (king), $81 (queen double), $99 (suite) plus taxes.
District Associations are asked to contact the Travelodge directly at (306) 764-6441 and refer to the SSA AGM booked through PAYSA block booking to arrange for their accommodations.
3. Quorum for the Meeting
In accordance to the Association’s By-laws, a majority of District Associations in membership shall constitute a quorum for the AGM. The quorum for this meeting is thirteen (13) District Associations. Therefore, we ask that each District Association forward the attached delegate registration form to the Director of Operations and Promotions at the SSA Head Office in Regina (Fax: 306-780-9480) or email: dop@sasksoccer.com no later than March 21, 2008 indicating whether you will or will not have representation at the Presidents’ Meeting and the Annual General Meeting.
4. Associate and Honorary Life Members
We also ask that Associate and Honorary Life Members kindly advise the Head Office by March 21, 2008 about their attendance. This information is required in order that we may provide an accurate account to the hotel as far as seating arrangements for the meetings, workshops, and as well the expected numbers for the lunch.
5. Presidents’ Meeting
Please be reminded that the purpose of the Presidents’ Meeting is for the Presidents to have an opportunity to ask questions about the budget, financial statements and proposed By-law changes so that they can report back to their delegates in preparation for the AGM on Saturday. If the President’s are wishing to have their Executive Director or Finance Chair sit at the table please advise the SSA Head Office as to who will be attending in addition to their President so that adequate chairs can be arranged.
6. Proposed By-law Amendments
Notice is hereby given to the District Associations in membership that proposed amendments to the SSA By-laws will be considered at the Annual General Meeting. As per the Saskatchewan Soccer Association Bylaws twenty-one (21) days is hereby given as notice of the meeting to the membership.
7. Members in Good Standing
Please be reminded that in accordance with the SSA By-laws, District Associations in membership must be members in good standing with the SSA in order to vote at the AGM. A member in good standing is one that has paid all of its fees by the commencement of the AGM.
8. Sunday Board Meeting
For those members who are elected to the Board of Directors, there will be a meeting of the Board of Directors on Sunday, April 6th.
Meeting Time: 9:00 a.m. to 1:00 p.m. Lunch will be provided.
Accommodations: The Saturday night accommodation costs will be covered by the SSA. However, the individual or District is responsible for arranging the booking of the rooms in advance.
9. AGM Material
The AGM material including the Annual Report, Auditors Report, 2008 Budget, President’s Agenda, and the minutes of the 2006 AGM and President Minutes will be available March 19, 2008. In accordance to Association Bylaws, the Bylaw Amendments will be available March 16, 2008. Two copies of each document will be forwarded to the Districts and will also be available on the website for review and printing. Additional copies will be available in Prince Albert at the AGM.
